W-2 Statements Will Be Available in Workday
2023 W-2 Documents: W-2s for employees who have elected to receive electronic-only copies are available now. Employees who have elected to receive paper copies of W-2s will have the W-2 mailed by January 31, 2024..
We are pleased to announce that employees will now be able to access electronic copies of their W-2s for 2018 and later years in Workday. For instructions on accessing W-2s in Workday, please refer to the Year End Tax Documents job aid.
- 2018, 2019, 2020, 2021, 2022 and 2023 W-2 documents are now available in Workday
- For copies from 2017 and earlier years, employees should Request Assistance.
Employees must have made their printing selection in Workday prior to January 15, 2024, for the change to be effective for the 2023 tax season. Paper copies of W-2s will continue to be mailed to workers who do not elect to go paperless in Workday. W-2s will be sent to the home mailing address in Workday.
How to Change your Printing Election
- Log in to your Workday account
- Search for “My Tax Documents” or Select the Pay app from your Workday homepage Under View, select My Tax Documents
- Click Edit in the Printing Election column
- Make a selection
- Click Done
The selection remains valid until the employee changes it. If you want to enroll in Paperless, please change your elections in Workday.
How to log in to Workday if you no longer work at NSHE
Select Former NSHE Community Members from the login page. Your username is your 9-digit employee ID number, without the leading zeroes. Use Forgot Password to have a temporary password sent to the email address on your employment record. Contact your home institution’s HR department for further help. If you are still unable to access your Workday account please submit an NSHE Payroll Help Desk ticket.
Frequently Asked Questions
W-2s can now be found in Workday under the Pay worklet. All 2018 and 2019 W-2s are uploaded into Workday and 2020 W-2s will be available at the end of January.
For copies of prior years (2017 and older) please Request Assistance or by contacting your campus hr/payroll team.
Paper copies of W-2s will continue to be mailed to workers (at the end of January) who do not elect to go paperless in Workday by December 31st.
Log into Workday and select the Pay worklet and follow the instructions below:
1. Click My Tax Documents button
2. Click on the View/Print button to select the desired tax document(s) from the available list.
3. You can wait for your documents to load or click the Notify Me Later button.
4. Accessed documents and those designated to be retrieved later (Notify Me Later) can be found under your Profile > My Reports section.
If you are having trouble accessing the system, you can request your W2 to be mailed again by submitting an NSHE Payroll Ticket
Log into Workday and click on the Pay worklet.
1. Click My Tax Documents button
2. Click the Edit button under the Printing Election column.
3. Under New Election, select the preferred method to receive either an electronic copy for your Year End Tax Document, or to receive both electronic and paper copies.
4. Click OK. Click Done.
Important Note: If you select the option to "Receive electronic copy of my Year End Tax Documents," online statements require a computer with internet access and Adobe Reader to view and print the tax document. After you submit your consent, it will remain valid for all future tax years or until you revoke your consent (so this process does not need to be repeated). If you do not submit your consent, the Payroll Department will provide you with a paper copy of your Year End Forms (Original / Corrected) although you will still be able to access the electronic version as well. If you have any questions, please contact the Payroll Office.
